World Fantasy Convention 2005

Art Show

Dear Artist,

This year's World Fantasy Convention will be held in the city of Madison, Wisconsin (USA) from Thursday November 3rd to Sunday November 6th, 2005.

If you have exhibited in a World Fantasy Convention art show anytime in the past three years or have been a Guest of Honor at a World Fantasy Convention, you are exempt from the jury selection process.

What To Send Us

In order to be considered for this show, we must have your samples no later than September 30th, 2005. Samples can be: tear sheets, photos, magazine covers, and slides. Please do not send originals of any kind, full-sized prints, or transparencies. If you would like them returned to you, you must include a stamped, self-addressed envelope large enough to hold your samples.

Digital samples of your work are also acceptable if the size of the e-mail containing the samples is no larger than 1Mb in size, and the files are formatted as JPEG, GIF or TIFF files. If there is a web site that contains samples of your work, an email with the site address may be sent. Please send any digital submissions to the following address:

At least 3 but no more than 6 samples must be included. Space will be allocated first-come, first-served, with the concurrence of the jury for inclusion in the WFC art show.

Please send in your space request form with your jury materials to the address on the form. This will enable us to put your name on your space as soon as the jury has passed your work without additional delay.

Do not send the fee until you are approved. If you are approved for the show, we will send you a confirmation letter and a bill for your space at that time. If you need to change your reservation you may do so then. If you are not approved, we will send you a note to that effect as well.

If you passed the jury for one of the last three World Fantasy Art Shows, you only need to fill out the space request form, including the name of the show in which you exhibited and a check or money order for the amount of space you wish to reserve. Please also include $35 as payment for a WFC supporting membership if you are not attending the convention, unless you have been a past WFC Guest of Honor.

Please include a SASE with sufficient postage for the return of your confirmation materials. You will be receiving bid sheets and your artist/print shop control sheets. Please let us know if you need more than one control sheet (each has room for up to 20 pieces).

Mail-In Artwork

Mail-in artwork is subject to a $10 additional fee per artist. The address to which to mail in your artwork will be included in your confirmation letter. All artists shipping to the show must ship prepaid. You should utilize reusable cartons/packing material and must include sufficient postage to cover return shipping and insurance. Please specify in writing which service (UPS, Federal Express, USPS, etc.) you want your art returned by, and the exact amount of insurance, if any. If no special instructions are given, the art will be returned via UPS, insured.

Space

There will be space for both 3D and 2D work. All 2D work will be on lighted 4' by 6' pegboard panels. Please let us know if you have any special needs (electricity, free-standing artwork) and we will try to accommodate them. There will be print shop space available to exhibiting artists. We will provide hanging hardware (hooks, clips, etc.).

Print Shop

Open to exhibiting artists only. There will be no commission. A flat fee of $1 per item entered will be charged. For example, if you bring four copies each of 4 different prints the fee will be 4 x 4 x $1 or $16.

We will have some space for special displays. If you wish to bring a special display for your art, we will try to accommodate you, but there may be space limitations. All such requests will be handled on a case-by-case basis.

Costs

Panel fees are US$30 for a 4' x 6' panel, US$60 for 2 panels and US$90 for 3, with a maximum of 3 panels per artist. Tables are $60 for a 6' x 30" table, $30 for a 1/2 table and $15 for a 1/4 table, with a maximum of 2 tables per artist. All funds must be in US dollars drawn upon a US bank. Make checks and money orders payable to "WFC-Madison."

Awards

There will be convention awards for Best of Show and Honorable Mention given out.

Rules

  1. Art should be of a Fantasy, Horror (Dark Fantasy), or similar theme. Science fiction art with fantasy elements is also acceptable. Only original artwork will be hung in the show. There will be no "resold" artwork allowed--all work must be the property of the artist exhibiting at the show. An agent may be designated to bring artwork to and from the Art Show.
  2. The WFC 2005 Art Show reserves the right to refuse the exhibition of any piece for any reason. Works that are judged to be libelous, plagiarism, obscene, or detrimental to the value of trademarked characters will not be permitted. Likewise, no artwork solely from commercial patterns, kits, or molds is permitted. If you have any questions, include a sample of the questionable piece with your jury materials. If problems arise, you may be requested to not show a particular piece.
  3. All two-dimensional artwork must be matted, mounted, or framed. When hanging, please allow enough room for bid sheets. Small three-dimensional artwork (such as jewelry) must be in a lockable, closed display case. Small items without a case should be securely fastened to a larger display board or device. Limited display case space may be available; please inquire. The WFC 2005 Art Show is not responsible for theft or damage to small pieces displayed without these precautions.
  4. All artwork must be clearly labeled. A bid sheet must be made out for all pieces, whether for sale or not. The piece number must be on the back/bottom of each piece (on stickers which will be provided), as well as the artist's name and piece title. If you are mailing in your artwork, you should include a hanging diagram. Please allow room for your bid sheets and any other materials (business cards, etc.) you wish to display.
  5. Once entered in the show, no piece can be withdrawn before the close of the show on Sunday, nor may the conditions of sale, amount of minimum bid, NFS status, etc., be changed without the express approval of the Show Director.
  6. The Art Show will be set up Thursday morning. Art will be accepted for display Thursday afternoon. A receipt will be issued for all art accepted. Artwork may not be reclaimed without this receipt and identification. If you cannot reclaim your art yourself, please make prior arrangements with the Show Director.
  7. All pieces that receive six or more bids will go to auction. The Director reserves the right to reduce or increase the number of bids required.
  8. Photos will not be allowed within the art show without the express permission of the Show Director. Please do not give anyone permission to photograph your artwork in the Art Show. Press photographers may be allowed to take wide-angle shots of the room, or photograph a particular artist's panels with the artist present, but only with permission from the Show Director.

Print Shop

All prints must be clearly labeled with the artist's name, the title, and the print shop price. We encourage shrink-wrapping of print shop copies to protect against damage from shipping and handling.

Both matted and unmatted copies are allowed in the print shop, but unmatted copies must be either packaged in plastic with backing or rolled into tubes with one matted copy for display. No loose unmatted prints will be allowed in the Print Shop.

General Information

All pieces are sold without any reproduction rights. We will provide a list of pieces sold, with the names and addresses of the purchasers.

An art auction, if needed, is planned for 10 AM Sunday morning, 11/6/2005 in the Art Show exhibit area.

Be prepared for the Art Show staff to handle your sold artwork. Please provide packing materials for small 3D objects.

Convention Memberships (both full and supporting) are available up to the start of the convention. However attending membership is limited and we are expecting to sell out early. If you (or your agent) are attending, please plan to pick up all artwork between the hours of 4:00 and 7:00pm Sunday.
